Creating Medication Records
Before you
can create prescriptions you need to enter the medications to dispense in
the Procedures module. Here are the step by step instructions on how
to enter a NEW medication.
- Go to the Procedures module using Select & Click.

Click the New button. At the first dialog decode
if you really want to make a new record. At the
second dialog click on Med to create a new “medication” record and
change to the correct screen!
Enter a Code that represents the medication.
In this case Cetapred 5cc was coded as CET5.
Procedures
and Fees
The Type
Of Service needs to be DRug if it isn’t already. When
the TOS is DR it adds this record to the pop-up drug list on the
Prescription entry screen!
- Modifier does
not need a value
- POS should be “11” unless you want to dispense medications
from other locations.
- UPIN should be NO!
- SKU is for the barcode located on the medication’s package. If you enter a value in SKU it is used
as the lookup code when you create a charge and not the value in Code. If you print your own barcode labels using the same
code as entered in the Code field leave SKU blank.

If only patient’s
are paying for medications, put your charge in the A(1) fee field. If you intend to submit charges
to insurance put your fees in one of the other fee fields and use
those fee schedules, too!
The Vendor List
Use this section to keep track of
where to purchase this medication and its “per unit” cost.
The pop-up list here is editable. To delete any of these vendor records
click the
delete button!
The Inventory
Section
- Add
to list adds
the current selection to the inventory list. Any
record can be added to this list.
- Discount?
will allow the amount charged to be discounted by the percentage you have
assigned to the patient!
- Tax?, if selected,
calculates the sales tax for this item based on your present state or local
sales tax.

Inventory, if checked
Yes, will
force PracticeMaker™ to debit inventory when a charge is created and add
back to inventory when the charge
is changed or deleted. If you select Debit stock on printing, located on the Prescription Preferences tab in Office
Startup, inventory will be debited
when a label is print
Warning: If you select Yes here you must not check Inventory Yes as described. Otherwise,
stock will be debited TWICE!
- # on hand should be the currently available
stock for this item.
- To change the # on hand you either enter a positive
number +/- field to ADD stock (i.e. 12)
or a negative number (i.e. -12) to debit stock.
You then click the calculator icon and confirm your action at the
dialog. Only higher level passwords can do
this!
Minimum is
the amount of product you always want to have on hand.
When you go below this amount the item is listed first on the Inventory report (which is created using the Scripts menu).
Drug Labeling
All the fields should be completed for each medication. The
information here is either used to label the medication or fill in the defaults when creating your directions
for the prescription!
- Maker should be a brief name of the medications
producer, such has “Alcon Labs”.
- Address
is the brief address of the maker, such as “Fort Worth, TX 76134”.
- NDC
is the full National Drug Compendium number that appears on the medication’s
packaging.

Exp is
the expiration date (i.e. 0798)

Lot is
the lot number as it appears on the medication’s packaging.
- Size
is the size of the container or
number of units (i.e. 15cc, #100, etc.).
- Amt
is the number of units you want the patient to take or use at one time!

Form is
the type of medication, either drop, ointment, etc., chosen from the pop-up
list.
- Where
is where the patient should use the medication.
- Timing
is the dosing schedule for this medication (i.e. “4 times daily”, at bedtime,
etc.).
- Actives
are the brief active ingredients. Do not type
%’s or sulfate just the main names.
- Warning
is for any special warning or handling the patient needs to know. For example, with tetracycline you should use, “Avoid
sun exposure. Take 1 hour before or 2 hours after
eating.”)
Printing
An Inventory Report
Select
Print Inventory from the Scripts menu.
Those items that do NOT
meet the minimum inventory requirements are listed first, as seen below.
After you are finished viewing the list click
Continue on the left.
If you want to print the report click OK at the dialog below right, otherwise Cancel!
